Surgical instruments that share the same catalogue name can differ in pattern, dimensions, material, hardness, finish and functional performance. A controlled sourcing process therefore begins with a product-level specification, not a generic list of names.

Identify every instrument precisely

For each line, state the instrument name, pattern, straight or curved configuration, working length, jaw or tip form, handle style and any recognised reference number. Photographs help communication but should not replace measurable requirements.

Define material and surface expectations

  • Specified grade or agreed material standard
  • Surface finish: satin, mirror or other approved finish
  • Passivation and corrosion-resistance expectations
  • Permanent marking, traceability and logo position
  • Cleaning condition and protection before packing

Inspect function, not appearance alone

Functional checks depend on the instrument. They may cover jaw alignment, ratchet engagement, hinge movement, cutting performance, tip symmetry, spring action or dimensional fit. The inspection plan should define the method, sample size and acceptance rule before production begins.

Control the approved sample and any changes

Keep an approved sample or signed specification as the production reference. Changes to material, subcontracting, geometry, marking or packaging should require written review rather than being treated as routine factory adjustments.

Confirm packing and traceability

Agree the unit pack or set/tray configuration, protective wrap, inner-carton quantity and export carton marking before production starts. Where instruments ship as sets, confirm which components carry individual traceability marking and how lot or batch information is recorded on both the pack and the accompanying documentation, so a query after delivery can still be traced back to a specific production run.
